The Sign-Up Process
The sign up process involves four distinct groups.
- Employer
- Australian Apprenticeship Centre – AAC
- Government
- Civil Train – the RTO
The timeframes involved will vary from student to student depending on the response times of each organisation through the process. In some circumstances the whole process can take five days, in others it could take over five weeks!
Step 1
Contact an AAC and request a representative visits and signs up the Trainee/Apprentice. To find your nearest AAC click here.
Step 2
The initial sign up is completed by the AAC and they need to undertake a series of checks to ensure the student is signed up correctly. This will confirm whether or not a student is eligible to be funded under programs such as User Choice. This process is independent of Civil Train and can take up to three weeks depending on the AAC and details of the student.
Step 3
The AAC sends a Supervising Registered Training Organisation (SRTO) Notice to Civil Train. This notice effectively asks Civil Train if they would be willing to be the nominated RTO for this particular trainee/apprentice. Typically this form is completed by Civil Train and returned to the AAC within three business days. This timeframe may be extended if the student is working for an employer who has not utilised Civil Train in the past. In this circumstance, Civil Train will undertake a Resource Check. This Check ensures the employer has the work, facilities and resources to support the trainee/apprentice.
Step 4
The AAC then submits all of this completed documentation to the State Government who allocates a unique registration number to the student. This is noted on the Department of Education and Training (DET) website. At the same time, DET assign a Direct Entry Level Training Administration (DELTA) registration number to the student and notify Civil Train of this information. This process can take up to 10 days.
Step 5
Once Civil Train is notified of the DELTA number, Civil Train will schedule an RTO sign with the employer and the student as soon as possible.
Civil Train makes every effort to ensure that it completes its tasks as quickly as possible, however due to reliance on other organisations, we can not provide a guaranteed sign up timeframe.
